What are the widgets and gadgets of the DAM solution, and are they what I need?

In the first discussion of the Core Criteria of Evaluating Digital Asset Management Solutions series we looked at the service side – the “who” behind your digital asset management solution. This next chapter will focus on the mechanics of your system, keeping price, integration and service consistent. 

 

Functionality of your digital asset management solution. Does it do what you need it to? Or are you paying for tools you'll never use?

Functionality of digital asset management systems is usually the area that most focus on asfar as distinguishing between A and B. Just as organizations have so many distinctions, so do the DAM solutions they pursue. Most providers start with a core DAM system (usually the repository) and then offer packages for building a comprehensive and sometimes tailored tool to handle duties beyond just storage and management of digital media. Here are some considerations when reviewing only the functionality of the DAM and not worrying about the price or integration.
 
    • Does the solution meet my requirements?

 

    • Are there tools that I won’t be  needing?

 

    • Are there functionalities that I need but cannot get?

 

    • Are there functionalities that can be added? Do these cost extra?

 

    • What asset formats can this solution handle? (Images, Videos, PDFs, Office Documents, etc.)

 

    • Does it provide conversions to multiple formats? (e.g. Tiff to Jpeg)

 

    • Will I be able to preview my assets?

 

    • How can I send assets to others? 

 

    • How can I control users and permissions?

 

    • Can assets be watermarked?

 

    • Can assets be locked; viewed only by certain users?

 

    • Can I leverage embedded metadata?

 

    • Can I get reporting or analytics about system usage?

 

    • Can I require approval for downloads and access?

 

    • Is there asset versioning? 

 

    • What types of searching can I do?

 

    • Does the solution fit my brand?
