What to ask users BEFORE you buy a DAM system

No doubt, the user is key to any successful computer software experience because without them there would be no experience at all. In the case of digital asset management (DAM), where software solutions can range from very simple to very complex, the voice of the user is essential in creating a comprehensive list of system requirements and executing a successful DAM implementation.
If you’re investing in a DAM software solution for your business, you’ll find the right fit for your business — faster and with greater buy in — if you take the time to understand your user wants and needs in advance of a purchase. There’s no better way to get your users engaged about a DAM software solution than by asking for their input. But, what questions about digital assets and DAM should you ask your users in order to get that input? Below, is a quick list of questions to help you get started ...
1. What kinds of digital assets are you working with every day (video, audio, photos, logos, PDFs, PPT, InDesign, etc.)?
2. How many assets are there? (think number and file size)
3. Who should have access to these digital assets?
4. What does our current workflow look like?
5. How should a DAM software solution support our current workflow? 
6. What are the most important features, to you, in a DAM solution?
In other words, what are must-haves vs. nice-to-haves when it comes to managing your digital assets?
Once you have collected answers from a group of users, distill them to find commonalities and share that information with your users to let them know you heard them. Then, use that information as the basis for your business requirements for DAM. Involve power users of the software solution in proofs-of-concept (demos / workshops, sandboxes) to keep them engaged throughout the DAM software buying process. If they’re vested in the software solution, they’ll be twice as motivated to use the software solution once it’s implemented and available.
